Privacy Policy

1. Information We Collect

We collect information you provide directly and information generated through your use of the Service:

  • Account data: name, email address, password (hashed), and workspace details
  • Session data: attendance logs, engagement scores, and participation records
  • Communications: chat messages, Q&A submissions, and poll responses within sessions
  • Audio and video: your camera and microphone feed is transmitted in real time during live sessions using WebRTC. Audio/video is not stored unless a host explicitly starts a session recording — in which case all participants are shown a visible recording indicator. Voice messages you record in chat are stored as audio files in your workspace
  • Media: recordings created during sessions and files you upload to the platform
  • Technical data: IP address (used for security, rate limiting, and abuse prevention), browser type, device information, and access logs
  • Billing data: for paid plans, our payment processor (Stripe) collects and stores your payment card details directly — we never see or store your full card number. We retain only what Stripe returns to us: your billing status, subscription history, and a reference ID
  • Push notification data: if you enable push notifications on our mobile app, your device's push token is shared with Firebase Cloud Messaging (Google), our push-delivery provider, solely to deliver those notifications to your device

2. How We Use Your Information

  • To provide, operate, and improve the Service
  • To authenticate your identity and secure your account
  • To send service-related notifications (session reminders, billing receipts)
  • To generate analytics reports for workspace administrators
  • To enforce our Terms of Service and prevent abuse
  • To comply with legal obligations

3. Data Sharing

We do not sell your personal data. We share data only in the following circumstances:

  • Workspace administrators: can see member activity, attendance, and analytics within their workspace
  • Service providers: we use trusted third-party providers for infrastructure (hosting, payments, email) who are contractually bound to protect your data
  • Legal requirements: when required by the laws of North Carolina, United States or valid legal process

4. Data Storage and Security

Your data is stored on servers located in secure data centers. We use industry-standard encryption for data in transit (TLS) and at rest. Session recordings are stored in object storage with access controls. We conduct regular security reviews and restrict employee access to personal data on a need-to-know basis.

5. Cookies and Tracking

We use cookies and similar technologies for:

  • Authentication: keeping you signed in securely (httpOnly refresh token cookie)
  • Preferences: remembering your settings across sessions
  • Analytics: understanding how the platform is used to improve it

We do not use third-party advertising cookies.

6. Your Rights

You have the right to:

  • Access: request a copy of the personal data we hold about you
  • Correction: update inaccurate or incomplete information in your account settings
  • Deletion: request deletion of your account and associated data
  • Portability: request an export of your data in a machine-readable format
  • Objection: object to certain types of processing

To exercise these rights, contact us at privacy@bhet.online.

7. Data Retention

We retain your account data for as long as your account is active. After account deletion, data is removed within 30 days except where retention is required by law. Session recordings are retained according to your plan's storage limits.

8. Children's Privacy

The Service is not directed at children under 13. We do not knowingly collect personal data from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy as our practices evolve. We'll notify you of significant changes by email. The date at the top of this page reflects when it was last updated.
